How HCP email marketing works in pharma: owned vs rented lists, what to measure, and how email coordinates with programmatic media.

The short answer

HCP email marketing sends approved brand or educational content to healthcare professionals by email. Brands use two kinds of lists: their own opted-in HCPs, and rented lists from medical publishers and data companies that send on the brand's behalf. Email works best when it carries detail, is measured on reach within the target list rather than open rates alone, and is coordinated with programmatic so the same HCPs are not over-contacted.

Email is one of the oldest HCP channels and still one of the most useful. It is direct, carries more detail than a banner, and can be tied to NPIs. It also gets misused: sent too often, measured on misleading metrics, and run in isolation from everything else.

Evaluating an HCP email list provider

Questions to ask before renting:

  • How were HCPs recruited, and what did they agree to receive?
  • How are HCPs verified, and how often is the list refreshed against NPI data?
  • What share of my target list can you reach? Ask for a match against your NPIs.
  • What HCP-level reporting do you provide, and can it be joined to my measurement partner?
  • How often are HCPs on the list mailed, across all sponsors?

That last question is often skipped. A list that sends sponsored emails several times a week will see weak engagement no matter how good your content is.

What to measure

Open rates are a weak signal because some email clients now pre-load images. Better measures:

  1. Unique target-list HCPs delivered. Reach against your list, not total sends.
  2. Click or content engagement by HCP. Who engaged, and with what.
  3. Downstream actions. Resource downloads, sample requests, registrations.
  4. Prescribing impact. Through an attribution study that includes email exposure.

Coordinating email with programmatic

When email and programmatic run on separate plans, the same high-value HCPs get hit from every side while others get nothing. Coordination options:

  • Suppression. Reduce programmatic frequency for HCPs who engaged with email this week.
  • Sequencing. Use programmatic for awareness, then email for depth once an HCP shows interest. See HCP media sequencing.
  • Shared reporting. Report reach across channels on one target list.

Both require that each partner can work with NPIs and that consent allows the data use.

Content that works

  • One clear topic per email.
  • Clinically useful material: dosing, patient selection, safety, access support.
  • Risk information and prescribing information links as required by review.
  • Plain subject lines. HCPs triage email quickly.

Common mistakes

  • Reporting opens as the headline KPI.
  • Sending to a rented list without checking its overlap with your target list.
  • Running email and programmatic with different HCP lists.
  • Ignoring send frequency across all sponsors on a rented list.

For your next rented email program, ask the provider to match your target NPIs first and price the send on matched target HCPs, not total list size. Then measure unique target HCPs who engaged, not opens.

Can you buy an HCP email list?

Usually you rent access rather than buy the addresses. The list owner sends your approved message to HCPs who gave permission to that owner. Buying addresses outright to email from your own systems carries consent and deliverability risk.

Are email open rates reliable for HCP campaigns?

Less than they used to be. Privacy features in some email apps load images automatically, which inflates opens. Use clicks, time on content, and unique target-list HCPs reached as better signals.

Can HCP email lists be used for programmatic advertising?

Some list owners offer onboarding of their HCP audiences to media platforms, matched by NPI. Whether this is allowed depends on the permission the HCPs gave and the owner's terms.
